Bookkeeping and account preparation
Collecting and categorising receipts, entering transactions, reconciling accounts and producing monthly summaries in a format your accountant can use directly.
Service 3
Scoped to how your company actually operates, with a fixed quote once we understand the requirement.
In many companies, administrative and finance staff spend a substantial part of each month on data entry, record keeping and report preparation. This work follows clear rules and is highly repetitive, yet it occupies staff continuously and is prone to error.
This is precisely the work that can be handed to AI in full. What is saved is not only time, but real staff cost.
Collecting and categorising receipts, entering transactions, reconciling accounts and producing monthly summaries in a format your accountant can use directly.
Reading invoice and receipt data automatically, categorising, filing and syncing with your existing accounting system.
Consolidating enquiries from WhatsApp, email and web forms, categorising them automatically, drafting initial replies and prompting follow-up so nothing is missed.
Generating quotations from existing templates, tracking customers who have not replied and issuing follow-up messages automatically.
Consolidating scattered documents, service information and process guides into a searchable internal knowledge base, so staff no longer search file by file.
Generating sales, inventory or operational reports automatically from existing data, reducing repetitive monthly preparation.
Handling bookings, rostering and reminders, reducing the time spent coordinating by hand.
Process automation has no standard rate card. Transaction volume, existing systems and process complexity differ enough between companies that a single price would not be honest.
During the free consultation we look at how your company actually operates, then provide a fixed quote for the agreed scope. The quote sets out what is delivered and by when, and we do not raise it mid-project.
Ongoing work such as bookkeeping and account preparation can be handled monthly. Alternatively we build the process once and hand it over for your company to run. Either arrangement is set out in the quote.
We consider the following should remain with your staff, and we say so explicitly during assessment:
We do not add AI for its own sake. Where we judge it is not worth doing, we say so directly.
Process
Identify the most repetitive and time-consuming steps.
Rank by value, feasibility, risk and measurability, then select the first project.
Pilot in the live environment while setting human review checkpoints.
Confirm the result, then decide whether to take on the next process.
Frequently asked questions
A fixed quote for the agreed scope, driven mainly by transaction volume and process complexity. It covers process analysis, design, build, testing and handover, plus one month of technical support, and is set out in writing before work begins.
Generally not. We build on the tools you already use wherever possible, including accounting software, Excel, Google Workspace and WhatsApp.
Our aim is to reduce the number of steps, not add to them. Most processes run inside the interfaces staff already use, and training rarely exceeds an hour.
No. We handle account preparation and organisation so that your accountant or auditor can work from it directly. Tax filing and professional opinion remain matters for a licensed accountant.
All data is used solely for the specified project. It is never used to train models and never provided to third parties. The contract sets out how data is handled, where it is stored and how long it is retained.
A monthly arrangement covers routine adjustments. For a one-off build, a material change to the process is assessed and quoted first.
